SUMMARY:
The Operations & Communications Coordinator provides administrative, operational, and communications support to the Agriculture Research & Development Department. This position ensures efficient day-to-day operations while supporting outreach, community engagement, and basic content creation.
This rote is critical to maintaining organization, financial tracking, communication flow, and public engagement across department programs and activities.
MAJOR DUTIES & RESPONSIBILITIES:
- Manage daily communications including emails, phone calls, and correspondence e Maintain organized filing systems (digital and physical)
- Schedule meetings, coordinate calendars, and prepare materials
- Support coordination of department activities and internal operations
- Assist with purchase requests, invoices, and expense tracking
- Coordinate with Finance Department on accounts payable and receivable
- Maintain records of department spending and assist with budget tracking
- Assist with preparation of reports for Tribal Council, grants, and internal use e Maintain organized records for compliance and program tracking ‘ Support documentation of department activities and outcomes
- Develop and manage social media content and announcements
- Create flyers, newsletters, and promotional materials
- Support communication of programs, events, and opportunities to the community o Manage office supplies and inventory
- Coordinate mail, filing, and document management e Support onboarding and coordination of interns or seasonal staff
- Assist with logistics for events, workshops, and community programming e Assist with maintaining digital files and organizational systems o Support basic website or digital platform updates (as applicable)
- Utilize office and design software to support department operations o Perform other job-related duties as assigned by the Supervisor.
QUALIFICATIONS:
- High School Diploma or GED required
- Associate’s Degree in Business Administration, Communications, Accounting, or related field preferred
- Experience in administrative support, office operations, coordination, or related field required • Experience with financial tracking, purchasing, or bookkeeping preferred e Strong organizational and time management skills
- Ability to manage multiple tasks and prioritize effectively
- Strong written and verbal communication skills
- Basic computer proficiency including Microsoft Office (Word, Excel, Outlook)
- Experience with social media platforms, content creation, or communications preferred e Ability to maintain confidentiality and exercise sound judgment
- Ability to work independently and as part of a team
- Must possess a valid driver’s license
Working Conditions
- Work is primarily performed in an office environment with occasional support required for field activities, events, and community programming
- May require occasional evening or weekend work to support events, meetings, or program activities
- Requires extended periods of sitting, working on a computer, and managing administrative tasks
- May require Eight lifting of office materials, supplies, or event equipment
- Occasional travel within the community for meetings, events, or coordination with other departments
